Thank you for considering Coastal Maine Botanical Gardens as the site for your upcoming meeting. You’ll find a warm welcome at New England’s newest and largest botanical garden, located along tranquil tidal waterfront in the mid-coast Maine community of Boothbay.

Our stunning 9350 sq. ft. shingle-style Visitor Center has several rooms available for rental, including the Great Hall with fireplace, a library, and café that offer wonderful views of the Rose Garden with Arbor, the Burpee Kitchen Garden, and the Great Lawn. Gardens staff is available year-round to help you plan your event.

Café: approximately 36 café style seating, 70 theater style and 25 conference style

Rates for Weekday Business Meeting Rentals in Above Rooms (subject to availability)
Café: half-day rental: $300 Full-day rental $500
Library: half-day rental: $100 Full-day rental $200
Great Hall: half-day rental: $500 Full-day rental $800
All three rooms: half day: $900 Full day rental $1500

Complimentary meetings
As part of our civic commitment, we will offer up to 20 free meetings in 2007 during our off-season period, one per group, to Lincoln County non-profits and botanically related non-profit groups in Maine. These meetings for up to 40 people must be held during our regular operating hours. They are available on a first-come basis and not available in July and August.

Discounts
Lincoln County non-profits and affinity groups receive a 50% discount off our rates. Other non-profits receive a 25% discount

Set up and use of 80 stacking chairs
Set up and use of 5 folding tables (6 foot)
Beverages, light catering and boxed lunches are available. Contact our rental office for more information.
Projection screen included in fees.

Reservation and Confirmation Policy
A deposit of 50% of the rental fee and a signed contract is required to confirm your event.
Payment in full is required 90 days prior to your event.

Change and Cancellation Policy
Every effort will be made to accommodate changes to your reservation. Cancellations will receive the following payment refunds:
More than 12 months prior –100%
6-12 months prior – 50%
3-6 months prior – 25%
Within 3 months – 0%

In case of inclement weather, the Gardens will make every effort to reschedule your event within 60 days of the originally scheduled event. Payments will not be refunded due to inclement weather unless traveling conditions are dangerous. Danger will be determined by whether or not schools have been canceled due to traveling conditions, or at the discretion of the Gardens’ Executive Director.


Gardens General Use Policies
Facilities are not available for fundraising use by other organizations.

Facilities are not available for political or religious functions (other than wedding ceremonies or memorial services) or commercial promotion.

Facilities are not available for events conflicting with the Gardens’ mission.

The Gardens reserves the right to refuse to rent to any individual, group or organization.

The Gardens reserves the right to review invitations or announcements regarding events.

Events must conform to all Gardens rules, policies and procedures.
